Service Admin. Assistant

Summary: The Service Administrative Assistant will be working at a Makita Factory Service Center and will work closely with other technicians within the facility. The Service Administrative Assistant will report directly to the Factory Service Manager.


Job Summary: Under general supervision, following well defined procedures while exercising independent judgment in application, performs clerical duties of moderate scope and complexity along with shipping and receiving to provide quality customer service a timely and accurate manner, while maintaining safety standards at all times.


Essential Duties and Responsibilities: (and additional duties-as assigned)


  1. Embraces and promotes brand values while delivering customer care principals.
  2. Assists in maintaining appearance of facility in professional, clean, and organized manner, consistent with Makita’s brand image, on a daily basis.
  3. Ability to create, edit, complete, and research repair and sales invoices in the computer.
  4. May handle monetary transactions and assist with the daily reconciliation of cash drawer.
  5. Receives tools for repair, creates repair job in computer, places tool in queue for repair.
  6. Prepare tools and part orders for shipment as required, completes daily shipping process.
  7. Checks all incoming stock orders against appropriate purchase orders and packing lists.
  8. Receives stock orders into computer system, puts stock away in designated locations.
  9. Assist in managing parts inventory accurately. Assist in physical inventory. Research and resolve discrepancies.
  10. Assists in managing and maintaining office supplies.
  11. Keeps work and storage areas clean, safe, and secure.
  12. Performs other duties as assigned by management


Desired Applicant Qualities:

  1. High school diploma/GED is required.
  2. Understanding of basic computer skills.
  3. Customer service skills and established rapport with Makita customers.
  4. Shipping and Receiving skills
  5. Organizational skills and multi-tasking abilities.
  6. Worked with tools and equipment
  7. Experienced with email, word processing, spreadsheet, and Power Point software.
  8. Knowledge of power tool types
  9. Forklift certified



Education and/or Experience: High School Diploma/GED required.

Language Skills: Ability to communicate with Makita customers and department staff. Bi-lingual Spanish preferred but not required.

Reasoning Ability: Ability to problem solve and asset situations and keep assigned project moving forward and on track.

Computer Skills: To perform this job successfully, an individual should have basic computer skills


Employment Requirements – must be at least 18 years of age at time of employment and be able to safely operate power equipment.
